REFUND POLICY

If you need to cancel your registration, please submit a written cancellation notice via email.

Because we schedule staff, invest in supplies, and plan for expenses based upon the number of youth we are expecting, we must adhere to our cancellation policies. Refund timelines and amounts will vary by program. Most programs have small non-refundable deposits, and all programs have cancellation deadlines after which no refunds will be given. Thank you for your understanding.

See below for program-specific policies:

SUMMER PROGRAMS

  • Cancel 3 weeks before the program start date: Receive a full refund, minus $25 administrative fee.

  • Cancel 2 weeks before the program start date: Receive a 50% refund, minus a $25 administration fee.

  • Cancel within 2 weeks before the program start date: No credits or refunds offered, as it is extremely difficult to fill vacancies within that short time.

GENERAL POLICIES

  • If Samara must cancel a program and we cannot place your child in an alternative program, a full refund will be issued.  Please read our Delays/Cancellations Due to Circumstances Out of our Control policy below for exceptions.

  • If your child leaves a program early or arrives late due to sickness, schedule conflicts, behavior problems, or for any other reason, there will be no refund or prorated fees.

  • Changes or exchanges of reservations will be considered on a case by case basis and are based on availability. An administrative fee of $10-25 per reservation may apply.

DELAYS/CANCELLATIONS DUE TO CIRCUMSTANCES OUT OF OUR CONTROL

  • Circumstances outside of our control include weather, air quality, hazardous road conditions or any other community concerns that might affect the health and safety of our participants, volunteers and staff.

  • Circumstances can sometimes be less than ideal for our programs. We want families and our staff to be safe out there, and we also understand that many families rely on our services to be open and available.

  • We do our very best to avoid cancelling any program, but in the rare case that cancellation is necessary, we will not be able to offer refunds as we have already invested the majority of costs associated with running these programs. We will NOT cancel programs except in the very worst circumstances. 

  • If there are hazardous road or air quality conditions on any program days, we may have a delay to our start time, schedule an early release, or amend the program hours.  

  • If you decide not to send your child to a program because of external circumstances or personal reasons, we will not be able to offer refunds.

We will communicate any delays/cancellations with you via text message, so please be sure your primary contact’s info is accurate.
